Your Favorite Star

Some documents, folders, saved searches or workspaces are just too good to be forgotten. Just make them favorites by clicking the grayed star next to any item. The star will magically change to gold and your document or folder gets added to your personal Home page. Click the star again to remove it from your Home page, or right click on the star to get to related options.

These starred items will be added to an already created section on your personalized Home page - Favorite Items. Workspaces, such as clients, matters or projects, deserve their own unique place on your Home page. The rest is up to you. Create your own Home page sections, drag any document or item to your shiny new section and organize your favorite stuff anyway you like. Isn't it nice to have the luxury to rearrange the furniture in your own Home?

The Navigator


The left, blue navigation bar is the guide to your organization's world of information. Most of the time you work within one Cabinet, where all your documents are filed into folders and subfolders. Otherwise, you work in a Workspace-organized Cabinet, where your documents are auto-organized and aggregated in your hundreds or thousands of projects, clients or matters. Whichever approach you fancy, NetDocuments remembers the way you work and where to get started, recognizing of course, that at times you many need to switch over to another. This is done with a simple click on the Cabinet bar which frees you to navigate to another world, to another place, to another repository, to another Cabinet.

 

 Getting to Workspaces is Ever So Easy
 

Q: What is the best way to organize documents for hundreds to thousands of projects or clients, have a common set of folders for each client, and then ensure permissions and auto-tagging of keywords are being applied to the documents?

Due to the popularity of Workspaces, our customers have been asking for easier and quicker ways to get to them. We have responded. In addition to starring a Workspace to your home page, you can now access your list of favorite and recently-accessed Workspaces (projects, clients or matters) from any page.

If you're a larger organization that has thousands of clients or matters, you can quickly search by entering any key or description and you'll immediately see a list of suggestive results. Upon making your selection, you are instantly taken to that client/matter workspace.

 

Document Details

Documents are live with NetDocuments. They have personality, characteristics, attributes and a unique identity-- they have a Document Profile. Documents can be created, edited, and shared with others. When opened, your document is checked out, (green check appears) so you can edit it while others can only view the previous version. When done, you simply close Word and your document checks back in with your edits updated and made available to others.

Getting to the Profile (aka document details) has never been easier: Preview a document in an HTML browser; get to the many document options such as email, print or change permissions; view, and even edit on the spot, any of your own custom attributes, such as client, matter, and doc type (law firm example). Slide down the list of versions and email out version 5 and 7. You can even take advantage of the internal GPS to check the folder location of this newly discovered document.

While a few documents are marked ready to perform some action, you can still click any part of another document's row and view the document details allowing you to scroll down a long list of documents to locate the information you need.

   

Collaborate Externally with ShareSpace

ShareSpace: (noun) A controlled area or boundary, with a set of documents to distribute and communicate with another person or group of people. Also Known As: extranets, client portals, or shared folders.

Our enduring and faithful NetBinder has gone through a makeover--and a new name. You organize your internal documents with WorkSpaces, and you share documents externally with ShareSpaces.

Mark a set of internal documents, and select "Share Externally" from the option menu. Then add your client's email addresses, and you are off and sharing.

All communication is encrypted, documents have permission rights set by you, actions are tracked, and collaborative discussion threads can be used. Even public announcements can be posted.

Create a ShareSpace with full username and password credentials required, or simply send the documents by using a personal URL or email link.
